Privacy Policy

1. Who we are

Trakeit ("Trakeit", "we", "us" or "our") is a field-service management platform operated by CHN Automation. We are an "agency" for the purposes of the Privacy Act 2020 and are responsible for the personal information we hold. If you have any questions about this policy, contact our Privacy Officer using the details in section 13.

2. Scope of this policy

This policy explains how we handle "personal information" — information about an identifiable individual — that we collect through our websites, our web and mobile applications, and our dealings with customers, prospects and visitors.

Where you use Trakeit to manage your own business, your business is responsible for the personal information you load into the platform about your staff, clients and contacts ("Customer Data"). For that information we act as your service provider and process it on your behalf and under your instructions; your own privacy policy governs your collection and use of it.

3. Information we collect

Depending on how you interact with us, we may collect:

• Account & contact information — name, business name, email address, phone number, role, and login credentials.
• Billing information — plan, billing contact and transaction records. Card payments are processed by our payment provider; we do not store full card numbers.
• Customer Data you enter — information about your clients, sites, jobs, quotes, invoices, timesheets, compliance records and staff that you choose to store in the platform.
• Usage & device information — log data, IP address, browser/device type, pages viewed, and actions taken, used to operate and secure the service.
• Communications — messages you send us, demo requests, and support enquiries.

4. How we collect it

We collect personal information directly from you where reasonably practicable — when you create an account, request a demo, contact us, or use the platform. We also collect technical information automatically through cookies and similar technologies (see section 10). Where we collect information about you from a third party (for example, a colleague who invites you to a workspace), we take reasonable steps to ensure you are aware of the matters set out in this policy.

5. How we use it

We collect and use personal information for the following purposes:

• to provide, maintain, secure and improve the platform and our websites;
• to set up and administer accounts, authenticate users and process payments;
• to respond to enquiries, provide support and send service-related communications;
• to send product updates and marketing where you have not opted out (you can unsubscribe at any time);
• to detect, prevent and respond to fraud, security incidents and misuse; and
• to meet our legal and regulatory obligations.

We will not use or disclose your personal information for a purpose other than the one for which it was collected unless an exception under the Privacy Act applies (for example, you have authorised it, or it is directly related to the original purpose).

6. When we disclose it

We do not sell personal information. We may disclose it to:

• Service providers and sub-processors who help us run the platform (for example, cloud hosting, email/SMS delivery, accounting integrations such as Xero/MYOB, and analytics), bound to protect it and use it only for the services they provide to us;
• Other users in your workspace, as required for the platform to function;
• Professional advisers, or a successor in connection with a sale or reorganisation of our business; and
• Authorities or third parties where required or permitted by law, or to protect the rights, safety or property of any person.

7. Storage, security & location

We take reasonable steps to protect personal information against loss, unauthorised access, use, modification or disclosure, including access controls, role-based permissions, encryption in transit, isolation of each customer's data, and audit logging. No system is completely secure, and we cannot guarantee absolute security.

Personal information may be stored and processed by us or our service providers on servers located in New Zealand or overseas. Where information is held or processed outside New Zealand, we take reasonable steps to ensure it is protected by comparable safeguards consistent with the Privacy Act 2020 (including IPP 12 on disclosing information outside New Zealand).

8. How long we keep it

We keep personal information only for as long as it is needed for the purposes described in this policy, to provide the service, or to meet our legal obligations — after which we securely delete or de-identify it. If you close your account, we will delete or return Customer Data in accordance with our agreement with you, subject to any retention required by law.

9. Your rights — access & correction

Under the Privacy Act 2020 you have the right to ask us for confirmation of, and access to, the personal information we hold about you (IPP 6), and to request correction of that information if it is wrong (IPP 7). To make a request, contact our Privacy Officer (section 13). We will respond as soon as reasonably practicable and within the timeframes required by the Act. There is generally no charge to access your information, though we may charge a reasonable cost in limited circumstances permitted by the Act.

10. Cookies & analytics

Our websites and app use cookies and similar technologies to keep you signed in, remember preferences, and understand how the service is used so we can improve it. You can control cookies through your browser settings; disabling some cookies may affect how parts of the service work.

11. Children

Trakeit is a business tool and is not directed at children. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will take reasonable steps to delete it.

12. Changes to this policy

We may update this policy from time to time. We will post the updated version here and change the "Last updated" date above. Material changes will be notified through the service or by email where appropriate.
